Position summary

A Program Coordinator is assigned to support one or more client accounts within a business division and works under direction to provide administrative, organizational, and project management support to the account team(s), thereby supporting successful project/program delivery for Envision Pharma Group (EPG) clients. The tasks undertaken will depend upon the type of services being delivered and may span a range of communication channels and formats.

Key responsibilities

.• Gains and applies an understanding of EPG and client standard operating procedures and policies, to support efficient, high-quality service delivery to clients.
• Prepares or supports the preparation of project timelines and maintains project tracking information, for use by internal team and/or client, liaising internally to monitor schedules and to identify any project delivery issues as appropriate.
• Uses EPG proprietary platforms and/or other client-specific tools (eg, Datavision, Clear, Zinc, Veeva Vault etc.) with proficiency, as required on assigned account(s), and acts as account team expert on these. Tasks may include data entry and audit, preparation and upload of materials, and/or reporting.
• Acts as point person on assigned areas of responsibility for internal team members and external project stakeholders, responding proactively to queries and requests as appropriate.
• Undertakes information/document management to meet account team and client needs.
• Coordinates the scheduling and execution of internal/external meetings and telecons, prepares agendas and meeting notes, and follows-up on action items as appropriate.
• Retrieves and evaluates information relevant to client service delivery, via online or other sources.
• Provides support, as requested, to the Account Management and Scientific account leads, and the wider account team(s).

Skills and experience required

• Preferably educated to degree level or equivalent.
• Typically at least 1 year of prior experience in a project administration/ coordination role.
• Preferably prior experience in a medical communications, or similar, agency environment.
• Proficiency in MS Office suite (especially Word, Excel, PowerPoint and Outlook)
• Depending on account alignment, experience working in EPG proprietary platforms and/or client-specific tools may be desirable.
• Well-developed project planning and project management skills.
• Highly organized and ability to multitask.
• Proactive and problem-solving approach.
• Meticulous attention to detail.
• Excellent communication skills.
• Good interpersonal skills and ability to work as part of a multidisciplinary team of colleagues.
• Able to develop good working relationships with internal/external stakeholders.
• Positive, constructive and customer-focused approach.
